Information we collect

Depending on how you deal with us, we may collect:

  • your name, telephone number and email address;
  • whether you are a homeowner, tenant, landlord, business owner, charity or community organisation, referral partner, or interested in working with BillWise;
  • the services you want us to review, your preferred contact day and time, how you heard about BillWise, any optional referral code, and anything you add in the comments field;
  • information needed to understand your requirements, compare options, arrange a quote or service, manage an introduction, and keep a record of our communications;
  • for referrals, the referrer’s contact details and the referred person’s name, contact details and area of interest; and
  • for Work With Us enquiries, your name and contact details and information you later choose to provide about the opportunity.

Please do not send us special-category information, such as medical details, unless we specifically ask for it and explain why it is needed.

How we receive information

You may give information to us by telephone, email, WhatsApp or through a website form. Website form details are securely transmitted to BillWise through its email-delivery service and are not published on the website. We may also receive your details from someone who refers you. If you make a referral, please make sure the person expects BillWise to contact them.

Who we share information with

We share information only where it is needed for the purpose explained to you. This may include selected energy, broadband and VoIP, mobile, solar and battery, security-system, and card-payment providers, brokers or installers when researching or arranging a quote or service you have asked us to explore. The recipient will depend on the service and option discussed with you.

We may also share information with service providers that support our email delivery, telephone, WhatsApp and other communications; accounting and record-keeping services; professional advisers; and providers of administration, legal or IT support. We may share information with HM Revenue & Customs, regulators, courts, law-enforcement bodies or other authorities where the law requires or permits it, and with a buyer or successor if the business is reorganised or sold. We require service providers acting for us to protect personal information and use it only for the agreed purpose.

The public website is hosted and protected by Cloudflare. When online form submission is enabled, Cloudflare Turnstile will provide the spam-protection check. It will process limited technical information needed to verify that a submission is made by a person. See our Cookie Policy for more information.

International transfers

Some technology providers may process information outside the UK. Where this happens, we require an approved safeguard, such as UK adequacy regulations or the UK International Data Transfer Agreement or Addendum, unless an exception applies.

How long we keep information

We keep personal information only for as long as it is needed for the purpose for which it was collected. We decide the period by considering whether an enquiry, quote, service, referral or representative relationship is still active; whether you have asked us to contact you near a service end date; the amount, nature and sensitivity of the information; the risk of harm from unauthorised use; and any legal, tax, accounting, complaint or dispute period that applies. When information is no longer needed, we delete it or anonymise it.

If you consent to marketing, we keep the relevant contact details until you withdraw consent or we decide they are no longer current. We keep a minimal suppression record where necessary so that we can respect an opt-out.

Your data-protection rights

Depending on the circumstances, you may have the right to:

  • ask for a copy of your personal information;
  • ask us to correct information that is inaccurate or incomplete;
  • ask us to delete your information;
  • ask us to restrict how we use it;
  • object to processing based on legitimate interests and object at any time to direct marketing;
  • receive information you provided in a portable format where the right applies; and
  • withdraw consent at any time, without affecting use before withdrawal.

These rights are not absolute and an exemption may apply. To exercise a right, contact us using the details above. We may need to confirm your identity.

Questions and complaints

Please contact BillWise first if you have a question or concern. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK data-protection regulator, at ico.org.uk/make-a-complaint, by telephone on 0303 123 1113, or by post to Information Commissioner’s Office, Wycliffe House, Water Lane, Wilmslow, Cheshire SK9 5AF.
